We are seeking a grounded and welcoming Front Desk & Office Manager to serve as both the heart of our client experience and the operational backbone of the spa.

About the Role

This position blends front desk hospitality, client coordination, retail support, and office management into one integrated role.

You will be the first point of contact for clients while also helping steward the systems that allow the spa to run smoothly and sustainably.

This role is ideal for someone who enjoys ownership, follow-through, and being the steady presence behind the scenes.

Responsibilities are clearly defined and introduced with training and support.

Schedule & Availability

This role supports the daily operations of Clean Beauty Bham during open business hours.

Expected schedule:

• Tuesday: 9:00 AM – 5:00 PM
• Wednesday: 9:00 AM – 5:00 PM
• Thursday: 9:00 AM – 6:00 PM
• Friday: 9:00 AM – 4:00 PM

The spa is closed daily from 1:00 PM – 2:00 PM for a mid-day reset.

This position is expected to work during these core operating hours.

Additional hours may occasionally be requested for team meetings, training, or special events.

Scope & Support

This role is designed to be focused, supported, and sustainable.

Responsibilities will be introduced gradually with clear training and documentation. You are not expected to “do everything,” but rather to steward defined systems and the front desk experience with consistency and care.

Expectations and priorities will be communicated clearly. As the business grows, responsibilities may evolve thoughtfully and collaboratively.

Key Responsibilities

Client Experience & Front Desk

• Greet clients warmly and hold a calm, welcoming presence
• Manage booking, scheduling, and appointment flow
• Respond to client inquiries in person, by phone, and via email or text
• Support client follow-up before and after appointments
• Maintain confidentiality and professionalism

Retail & Sales Support

• Process service and retail transactions
• Support retail sales through education and client care (not pressure)
• Maintain retail displays and organization
• Assist with restocking and basic inventory tracking

Office & Operations Management

• Oversee daily front desk and office operations
• Maintain organized digital and physical records
• Order and manage front desk and office supplies
• Serve as point of contact for vendors as needed

Administrative & Systems Support

• Support invoicing, expense tracking, and basic reporting
• Maintain scheduling, POS, and CRM systems
• Coordinate with the bookkeeper as needed
• Help document and maintain standard operating procedures

Founder Support

• Translate direction into execution
• Take ownership of assigned systems
• Close loops and follow through on open items

Qualifications

• 2+ years experience in front desk, hospitality, office management, or client services
• Strong communication and interpersonal skills
• Comfort with booking systems, POS systems, and basic technology
• Detail-oriented with excellent follow-through
• Ability to multitask while remaining calm and present

• $20/hour
